Waterline Voice, a DBA of Obby LLC (“Waterline Voice,” “we,” “us,” or “our”) provides an AI phone receptionist that answers calls for service businesses, captures the caller’s details as a lead, and relays them to the business. This policy explains what information we collect, how we use it, who we share it with, and the choices you have.
It covers two groups of people: business users who create an account and sign in to the Waterline Voice dashboard, and callers whose phone calls are answered by our AI on behalf of one of those businesses.
Information we collect
Account information.When a business owner signs in, including via “Sign in with Google”, we receive their name and email address to create and secure their account. We do not receive or store your Google password.
Call information. When our AI answers a call for a business, we process the call audio and may collect a recording, a transcript, and the lead details the caller provides, such as their name, phone number, city, and the reason for the call.
Business and billing information. Company name, the phone number(s) you forward to us, your business hours and service details, notification recipients, and, for paid plans, billing details handled by our payment processor.
Usage information. Basic logs and metrics needed to operate and secure the service, such as call counts, delivery status, and error logs.
How we use information
- Answer calls, capture and deliver leads, and bridge or schedule callbacks for the business.
- Create the call log, recordings, and transcripts shown in the business’s dashboard.
- Authenticate business users and keep accounts secure.
- Send service messages and summaries, such as new-lead texts and a weekly recap email.
- Provide support, prevent abuse and fraud, and meet legal obligations.
We do not sell your personal information, and we do not use it for advertising.
Google user data
If you sign in with Google, we access only your basic profile information (name and email address) for the sole purpose of authenticating you and managing your account. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. We do not transfer or use this data for serving ads, and we do not allow humans to read it except for security, to comply with applicable law, or where you have given consent.
How information is shared
We share information only with service providers that help us run Waterline Voice, each acting on our instructions:
- Twilio: telephony, call routing, and call recordings.
- OpenAI: the AI voice agent and speech transcription.
- Supabase: authentication and database hosting.
- Google Workspace: sign-in and transactional email.
- GoHighLevel and other SMS providers: outbound text notifications.
- Stripe: subscription billing and payments.
For each business’s calls, the captured lead, including the caller’s details, recording, and transcript, is made available to that business.
We may also disclose information if required by law or to protect the rights, safety, and security of our users or the public.
Call recording
Calls answered by our AI may be recorded and transcribed on behalf of the business you called. Callers are notified at the start of the call. Recordings and transcripts are used to deliver and document the lead and are accessible to the business.
Data retention
We keep information for as long as needed to provide the service and for legitimate business or legal purposes, after which it is deleted or de-identified. A business can request deletion of its data, and we will honor verified requests subject to applicable law.
Security
We use industry-standard safeguards, including encryption in transit, access controls, and reputable infrastructure providers, to protect information. No method of transmission or storage is completely secure, but we work to protect your data and limit access to those who need it.
Your rights
Some states give residents specific rights over their personal information. Depending on where you live, you may have the right to know what we collect and how we use it, to request a copy, to correct it, to ask us to delete it, and to opt out of the sale or sharing of your information or of targeted advertising.
We don’t sell or share personal information, and we don’t use it for advertising.
You also have the right not to be treated differently for exercising any of these rights. If we deny a request, you can appeal by replying to our response.
To make a request, email team@waterlinevoice.com. We’ll verify your identity first, and we’ll respond within the time your state’s law requires.
If your call was answered on behalf of a business, that business controls your information. Send your request to them, or to us and we’ll pass it on and help however we can.
A business owner can also manage much of their account data directly in the dashboard.
Children
Waterline Voice is intended for businesses and is not directed to children under 13, and we do not knowingly collect their personal information.
Changes to this policy
We may update this policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice.
